Success Story: Maxfield GmbH, DuesseldorfWith an integrated ERP software solution, the Duesseldorfer enterprise, Maxfield, develops new turnover potentials.Mobility plays a central role for the Duesseldorfer enterprise, Maxfield, in many regards: as the basis of its product philosophy as well as the basic condition for its functional and marketing structures. Maxfield is an enterprise that established itself with mobile products such as USB-MP3-Players, portable DVD Players and Bluetooth headsets for mobile telephones within the digital entertainment electronics sector. “We serve numerous large customers. Effective enterprise resource planning and logistics systems are therefore indispensable. Also, communication with our field representatives and our production location in Asia must be optimised,” remarks Christoph Stein, project manager and project & sales director with Maxfield. A comprehensive software solution for enterprise resource planning should therefore be the basis for the planned restructuring of the sales department. The goal was to find a flexible system which bundles all enterprise processes and provides centrally accessible data and automated arrangements to ensure high transparency and effectiveness. In choosing ERP System V, Maxfield decided for a complete solution from GSD Software, consisting of the enterprise resource planning/ logistics and DOCUframe® document management modules.The solution unites all processes, from their enterprise resource planning to financial bookkeeping and production through to communications and archival, on the server at Maxfield’s logistics hub. Here all documents, dockets, correspondence, contracts and all e-mail communications related to the respective customers and suppliers and the corresponding procedures are stored. Sales orders are entered and passed on to the logistics business software for fulfilment; with shipment dispatch, the data including the serial number of the devices is captured and the delivery documents are produced. Therefore, all the information related to each process is centrally and currently retrievable from the server and the data consistency is ensured by the alignment between the ERP and archival solutions. Over a Citrix-Metaframe-Server staff members can access all the applications and data around the clock, both on-line and off-line. Also, staff members at the production facility in Asia, despite the time difference, have up-to-date data continually available for orders, customers and suppliers clearly organised under the appropriate supplier and customer's address. “The marketing field service can also access customer data and applications, enter orders in DOCUframe® and work on complaints, since they have all correspondence and contract terms available off-line. In this way, deadlines can be effectively prepared for and followed up and our performance for the customer is likewise optimised,” emphasises Christoph Stein. The contracting firm JOLA Soft- and Hardware, a marketing partner of GSD Software, was able to complete the customised installation and implementation for Maxfield in a total project period of only 6 weeks. This also included the production of a customised module for the entire service process within the ERP system. With this service tool, the technicians concerned can enter and complete complaints of the most diverse kind through special masks and menus - from the receipt of the defective item, to error analysis, follow-up, statistics and serial number administration through to the despatch of a replacement and/or repaired item to the customer. Since the end of July 2004 the ERP system has been in full use. The DOCUframe® document management system, including mail and fax, has been used since the end of August. In September, all field staff, as well as the management team, were additionally equipped with the Citrix-based on-line solution with a mobile DOCUframe® database so that all customer data is also available off-line. For consultation and support, a technician from the comTeam systems house JOLA is available 24 hours a day by hotline, and can at any time examine the system on-line and determine whether and where there is a problem.Maxfield values the fast implementation of the project. “We could really work with the solution from the very first day. All questions, which emerged in the initial phase, were quickly and competently answered, thanks to the support,” comments Christoph Stein. Altogether, Maxfield could optimise the efficiency of their business processes substantially and thus clearly reduce their administrative expenses.
