Success Story: ITK - Industrietechnik Kienzler GmbH & Co. KG, Vogtsburg-AchkarrenNew wine in new wineskins:ITK chooses GSD’s software ITK – Industrie-Technik Kienzler GmbH & Co. KG is an industrial wholesale dealer specialising in hoses and armatures for solid, liquid and gaseous media. Based around India rubber and plastic as raw materials, ITK constantly creates new product ideas – including special seals, semi-finished material, propulsion technology, industrial safety and general industrial needs. A special focus on viticulture and wine cellars (which includes an extensive brew pipe assortment with special plugs, cooling sets for the new wine and/or mash warmers) completes the range.Owner and Managing Director Hubert Kienzler counted on continuous growth from the beginning. From its establishment in 1983, the one-man operation has grown to an enterprise of twenty-eight staff today. In order to keep up with this rapid development administratively, Kienzler began a search for an efficient, holistic software system at the beginning of this year. The product demonstration convinced Armin Engist, department head and buyer for personnel, EDP and accounting systems, explains that especially their document management had become ever more extensive. Mastering the daily correspondence by letter, fax and e-mail required a holistic solution. On the recommendation of their software and hardware partner, HS Heizmann from Emmendingen, Armin Engist learned more about DOCUframe® from GSD Software. “The convincing product demonstration was the deciding factor”, says Engist. The ITK team were impressed by the various possibilities for the streamlining of operational processes. With the help of the document management system for purchasing, sales and other contracts, the convenient fax and e-mail functions as well as the up-to-date customer relationship management (CRM) system, they saw how this would prepare them for coming challenges. More transparency, shorter searches Letters, faxes or e-mails: since May 2007, DOCUframe® is used daily for the production of all correspondence. Thanks to its clear archiving system, contracts and documents are filed directly with customers and suppliers and the incoming mail is conveniently distributed and easily administered. “Saving searches for individual documents is one of the most important benefits of DOCUframe®”, says Armin Engist. GSD’s software enables “a higher transparency in customer and supplier relationships”, projects and processes are accessible for everyone at all times, and the information flow within the enterprise functions without losses. As ITK manages its advertising campaigns in-house, by direct mail, fax and/or e-mail, DOCUframe® also offers great assistance here: creating documents through templates and automatic address allocation are substantially eased according to Engist. Great start impresses buyer The whole start-up phase had for him a “very positive feeling”: even during training, the staff were energised and made proposals for the further use of DOCUframe®, which offers many possibilities for the streamlining of operational processes. “Even staff who are otherwise rather sceptical recognised the benefits of the system quickly and without having to persuade them.” says Armin Engist with a smile. “All our expectations were fulfilled punctually and all (GSD) staff they were in contact with were very friendly.” Asked about further goals with GSD’s software in the mid-term, Engist mentions the probable integration of the telephone system within the coming year and the expansion of DOCUframe® to include the voucher archiving feature. In the next 18 months, ITK would also like to link their whole mobile field service team. Thus GSD software becomes the comprehensive virtual communications platform, available at any time and in any place to all staff.
