DOCUframe® Functions:

DOCUframe®, the complete solution for document management, archival, communications and workflow, is based on an efficient, object-orientated 32-Bit Client server database.
The object-orientated structure of DOCUframe® offers an extremely transparent data structure and the conditions for logical and intelligent operational processes.


DOCUtoday®
DOCUtoday is the start-up display of DOCUframe® and informs the user and others about today’s appointments and about calls received in their absence. Additionally, it is possible to configure this display window to allow certain new documents, such as e-mails, faxes or Word documents, to be produced from it.




Scanning, Archival and Investigating

Document retrieval is done with a TWAIN compatible or networkable scanner. The efficient OCR module, based on the leading OCR/ICR FineReader engine of ABBYY™, automatically completes the text transformation of scanned documents.
The texts generated can be stored in any archive fields for optional further processing and/or be searched from the full text with the full text search engine dtSearch. For subsequent archival, the documents and their contents can be automatically or manually indexed which allows them to be found very quickly again according to various search criteria and examined in their original state - an important requirement to fulfil the new guidelines for data access and the controllability of digital documents (GDPdU).


Document Organisation and Management
In DOCUframe®, all types of documents (different file formats, pictures, languages, workflows, e-mails, etc.) can be stored.
These can be organised according to any attribute such as title, invoice number, date, fax number, e-mail address or defined search criteria.
Additionally, you can directly assign master data to the documents, e.g., customer information, addresses, articles, projects. Documents are not simply stored in a relatively uncertain file system, but are stored in the database and object-orientatedly, intelligently linked according to your business logic.
From DOCUframe®, different file formats, e.g., MSOffice files, can be retrieved and processed within their original application format.
DOCUframe® works with linked objects. In other words, all documents are physically stored only once in the database which helps to reduce IT costs. Because of this intelligent linkage, it is also guaranteed that all departments and co-workers always operate with the most current version, since the document exists physically only once in the database.
In handling company-specific organisational forms, documents can be passed on to different departments while avoiding copy-making and parallel processing.


Process and Project Management
With DOCUframe®, customer and project-related procedures (services, hotline support, maintenance contracts, etc.) in processes or projects can be controlled and administered down to every detail.
DOCUframe® therefore becomes an effective tool for Customer Relationship Management (CRM) and Computer Aided Sales (CAS).
All the necessary information is entered over customisable masks and dialogues. Direct marketing or telemarketing events such as customer service or complaint handling can be precisely coordinated and handled. All processes are logged and analysed and can thus be accounted by customer or project.
An important aid is the option of assigning control automatisms. Especially useful in the sales department, a project’s status is easily controlled - as activities take place, the resultant change in project status is automatically made. This fulfils a basic condition for effective and productive business management.


Document-Workflow
In other words, document workflow is the virtual mapping of the information and data streams in the enterprise. Through this, documents pertaining to firm-specific processes can be passed automatically on to the responsible employee or department.
Additionally, DOCUframe offers® you advanced escalation management.
An escalation management system reminds the responsible people to stay within a certain operating time for a document or a process. Through the process log and statistics, the departments maintain an overview of quantity, time and quality of the document or process handling. No enquiry, whether it is to the sales department, service department or simply for informational materials, will remain untreated in the future.
Through the integrated development environment, DOCUcontrol®, individualised, user-specific requests and conditions, e.g., macros and queries, can be generated. Because of their object-orientated linkage to the relevant customer, project, or process information, an overview of a document’s status and date information is maintained at all times.

Calendar and Time Management

The link to timed processes can be found throughout all the function modules. Thus the timeline is the backbone of all control, administrative and organisational mechanisms. This is most apparent with the sophisticated calendar system from DOCUframe®. All calendar items are available in a weekly, monthly or daily format and alternatively in graphic or tabular form. Unified Messaging
All the essential services of a modern Unified Messaging Software solution are provided by DOCUframe® (e.g., e-mail, fax, recorded announcements and SMS). With the additional CTI (Computer Telephony Integration), all further telephone-related functions are controlled.
  • Fax Directly from the Workstation:
    DOCUframe® offers you the possibility to fax all your documents, even from other software solutions, directly from your own workstation without degradation in quality and even supports mail-merged or multiple-recipient faxes. As well, an incoming fax can be further processed and graphic objects such as signatures and notes can be added.
  • Professionelle E-mail Despatch:
    DOCUframe® puts its own server-based e-mail client that communicates with POP3/SMTP or IMAP at your disposal.
    You can distribute e-mails automatically to recipients, pass on or create mass e-mails. Each e-mail can be linked with dates, addresses, project or processes and be despatched, administered and archived from any workstation.
  • Voice Output and Communication:
    Voice messages, i.e., voice mails, can be also processed, passed on, assigned or archived like any other documents in DOCUframe®.
  • Integration of the Classic Telephone
    (CTI/Computer Telephony Integration):

    Many of the time-consuming preparations for a conversation (telephone number search, entering the number, etc.) are handled by DOCUframe®. With the push of a button, the connection is made.
    Incoming and missed callings are stored with the call number and can be displayed again later. Thus, you don’t miss a call. DOCUframe® puts all caller-related information instantly at your disposal on the screen.


Mobile Communication
Whether with mobile computing, mobile PDA or mobile database, whoever depends on current information also wants to be able to access it outside of the company’s own network. The functionality of DOCUframe® in the area of mobile communication offers a whole new set of possibilities.

  • Mobile Computing:
    To be able to access your internal company DOCUframe® remotely, you only need your home office computer or laptop, as well as a DFUe/GPRS - access and a remote access client, e.g., the terminal server technology of Microsoft® or CITRIX®.
  • Mobile PDA:
    You can transfer addresses, notes and appointments at any time to your PDA. And so you don’t miss an appointment, DOCUframe® reminds you via SMS.
  • Mobile Datenbase:
    With this function, you are enabled to transfer sections of your main database into your portable computer. All data that was created or modified during your field assignment is fed back into the main database. The synchronisation is made directly by LAN/WAN.
